**TL;DR:** A sales cadence is the planned schedule of touches a rep uses to reach a prospect: how many touches, on which channels (LinkedIn, email, phone) and how many days apart. A good B2B sales cadence runs 6 to 10 touches over two to four weeks, mixes at least two channels, gives each touch a new reason to reply and has clear exit rules. The cadences that book the most meetings also react to buying signals, so a prospect who comments on a relevant post or visits your pricing page gets a faster, more personal next step instead of waiting for day 9.

## What Is a Sales Cadence?

A sales cadence (also called an outreach cadence) is the sequence and timing of every attempt a rep makes to start a conversation with a prospect. It answers four questions: how many times you reach out, through which channels, in what order and with how much time between each touch.

Cadences exist because one message rarely gets a reply. People miss emails, ignore connection requests from strangers and don't answer unknown numbers. A cadence makes follow-up consistent, so every prospect gets the same number of chances to respond and every rep follows the same tested plan. It sits inside your wider [LinkedIn prospecting](https://traxy.ai/blog/linkedin-prospecting) process: prospecting decides who to contact, and the cadence decides how and when.

### Sales cadence vs. sales sequence

The two terms are often used interchangeably. When teams separate them, the difference looks like this:

Term

What it describes

Example

**Sales cadence**

The plan: number of touches, channels, order and spacing

8 touches over 3 weeks across LinkedIn, email and phone

**Sales sequence**

The set of steps built in a tool to run that plan, including message templates and automated tasks

A sequence in your sales engagement tool with 5 email templates and 3 call tasks

**Multichannel outreach**

Reaching the same prospect on more than one channel within one cadence

A LinkedIn comment, then an email, then a call

## The Parts of a Sales Cadence

- **Touches:** the total number of attempts before you stop. Most B2B cadences use between 6 and 10.

- **Channels:** LinkedIn (profile view, comment, connection request, message, [InMail](https://traxy.ai/blog/what-is-linkedin-inmail) ), email, phone and sometimes video or direct mail.

- **Spacing:** the days between touches. Touches are usually closer together at the start and further apart at the end.

- **Duration:** the total length, often two to four weeks for outbound.

- **Content:** what each touch says. Each one should add something new, such as a question, an example, a resource or a different angle on the problem.

- **Exit rules:** what ends the cadence early (a reply, a meeting, an opt-out, a bounce) and what moves the prospect to a different track.

## How to Build a Sales Cadence in 7 Steps

1. **Start from your ICP and the trigger.** Decide who the cadence is for and why you're contacting them now. A cadence for VPs of Sales at companies that raised a round last month should differ from one for founders who commented on a post. If your ICP isn't written down, start with this [ideal customer profile template](https://traxy.ai/blog/ideal-customer-profile-template) .

2. **Choose your channels.** Use the channels your buyers respond to. In B2B, LinkedIn plus email is the common base, with phone added for higher-value accounts. Our comparison of [LinkedIn vs cold email](https://traxy.ai/blog/linkedin-vs-cold-email-b2b-lead-generation-comparison-2026) covers where each one fits.

3. **Set the number of touches and the length.** Begin with 8 touches over about three weeks, then adjust based on which steps get replies.

4. **Space the touches.** Put two or three touches in the first week while your reason for reaching out is fresh, then widen the gaps to three or four days.

5. **Write a reason for every touch.** Plan the angle of each message before you write it: the first touch references the trigger, the second adds a useful resource, the third asks a short question, and so on. Five versions of "following up on my last email" teach the prospect to ignore you.

6. **Define exit and branch rules.** Stop on a reply or opt-out. Move non-responders to a lighter [lead nurturing](https://traxy.ai/blog/lead-nurturing) track instead of starting the same cadence again.

7. **Measure by step.** Track reply rate and meetings for each step and channel, then cut or rewrite the steps that never get a response.

## Sales Cadence Examples

The examples below are starting templates. Change the spacing and channels to fit your buyers and your deal size.

### 1\. Multichannel B2B outbound cadence (cold, 3 weeks, 8 touches)

Day

Channel

Touch

1

LinkedIn

View the profile and follow; react to or comment on a recent post

2

LinkedIn

Connection request with a short note that names the reason you're reaching out

3

Email

First email: the trigger, the problem you think they have and one question

5

Phone

Call; if no answer, leave a 20-second voicemail that points to your email

8

LinkedIn

If connected, a message that shares a relevant resource; if not, comment on a new post

10

Email

Second email: a short example of how a similar company handled the problem

15

Phone

Second call attempt at a different time of day

21

Email

Close-the-loop email that says you'll stop reaching out and leaves the door open

### 2\. Signal-led LinkedIn-first cadence (warm, 10 business days, 6 touches)

Use this when the prospect has already engaged with your content, a competitor's post or a post about the problem you solve.

Day

Channel

Touch

1

LinkedIn

Reply to their comment with something useful, then send a connection request that mentions the post

2

LinkedIn

Once connected, a message that continues the topic of their comment, with no pitch

4

Email

Short email that offers a resource on the same topic

6

LinkedIn

Engage with their next post or share one relevant data point in the conversation

8

Phone

Call for high-fit accounts, referencing the conversation on LinkedIn

10

Email

Ask whether a short call on the topic is worth their time

### 3\. Inbound lead follow-up cadence (same day, 1 week)

When

Channel

Touch

Within the first hour

Phone and email

Call, then send a personal email that references what they downloaded or asked

Day 1

LinkedIn

Connection request that mentions their request

Day 2

Phone

Second call attempt

Day 4

Email

Answer a likely question about their use case

Day 7

Email

Offer two specific times for a call

Response time matters most in this cadence. Our guide to [speed to lead](https://traxy.ai/blog/speed-to-lead) explains why the first hour counts and how to set up routing that makes it possible.

### 4\. Re-engagement cadence (after a lost deal or a stalled conversation, 3 to 4 weeks)

Week

Channel

Touch

1

Email

One question about whether their priorities have changed

2

LinkedIn

Engage with their posts or share a relevant update in a message

3

Email

A new resource or customer example tied to the reason the deal stalled

4

Phone

One call for accounts that engaged with the earlier touches

## How to Time Each Touch to Buying Signals

A fixed cadence treats every prospect the same: touch four goes out on day eight whether the prospect has gone quiet or visited your pricing page twice this morning. A signal-aware cadence keeps the schedule as a default and changes it when the prospect shows interest or stops responding.

Signal

What it suggests

Change to the cadence

**Comments on a post about your category**

Active interest in the problem

Move the next LinkedIn touch up and reference the comment

**Engages with a competitor's post**

Researching options

Add a touch about the problem rather than the competitor

**Visits pricing or comparison pages**

Evaluating vendors

Pull a phone touch forward to the same day

**Several people from the account engage**

A buying group is forming

Start a short cadence for the second contact and mention the shared topic

**New executive in the buying role**

New priorities and budget

Start a cadence in their first 90 days, focused on what new leaders tackle first

**No opens or replies after four touches**

Wrong timing, contact or channel

Switch channel, try another contact at the account or move to nurture

Our guide to [buyer intent signals](https://traxy.ai/blog/buyer-intent-signals-complete-b2b-guide) explains how to score each signal so reps know which prospects to move to the front of the queue.

## Sales Cadence Best Practices

- **Lead with relevance.** Gartner found that 73% of B2B buyers avoid suppliers who send irrelevant outreach ([Gartner, June 2025](https://www.gartner.com/en/newsroom/press-releases/2025-06-25-gartner-sales-survey-finds-61-percent-of-b2b-buyers-prefer-a-rep-free-buying-experience) ). Each touch should show that you know why this person might care now.

- **Warm up LinkedIn before you message.** A comment on a prospect's post makes your connection request a familiar name. Our guide to [LinkedIn connection acceptance rates](https://traxy.ai/blog/linkedin-connection-acceptance-rate-guide) covers what makes people accept.

- **Respect platform limits.** On a free account, LinkedIn lets you personalize up to five connection requests a month, each up to 200 characters, and accounts that send many unaccepted invitations can be restricted from sending more ([LinkedIn Help](https://www.linkedin.com/help/linkedin/answer/a563153) ).

- **Protect your email domain.** Google requires bulk senders to Gmail to authenticate their domain, offer one-click unsubscribe on marketing messages and keep spam rates below 0.3% ([Google email sender guidelines](https://support.google.com/a/answer/81126) ). Send from a warmed-up domain, keep lists clean and honor opt-outs immediately.

- **Personalize the first touches, template the rest.** The first message carries the most weight; later touches can reuse a well-tested structure with a personal opening line.

- **Use subject lines and openers that fit the channel.** See our [LinkedIn cold message subject lines](https://traxy.ai/blog/linkedin-cold-message-subject-lines-open-rates-b2b-2026) for InMail and message examples.

- **Keep calls in the mix for high-value accounts.** A call after a LinkedIn interaction is warmer than a cold dial. Our [cold calling guide](https://traxy.ai/blog/cold-calling) includes scripts for both.

- **Automate the tasks and keep the messages personal.** Sequencing tools can schedule emails and create call tasks. LinkedIn's User Agreement prohibits bots that send messages, so keep LinkedIn touches manual or use tools that stay within LinkedIn's rules. Our list of [LinkedIn automation tools](https://traxy.ai/blog/best-linkedin-automation-tools-b2b-lead-generation-2026) covers the options and their risks.

## Common Sales Cadence Mistakes

- **Stopping after one or two touches.** A prospect who missed the first message never sees the rest of your plan.

- **Repeating the same message.** "Bumping this to the top of your inbox" gives the prospect no new reason to reply.

- **Running one cadence for every segment.** A founder who engaged with your post and a cold enterprise VP need different plans.

- **Ignoring signals mid-cadence.** Sending a scheduled breakup email to someone who visited your pricing page that morning.

- **Measuring opens instead of meetings.** Judge each cadence by replies, meetings and pipeline per prospect enrolled.

## How to Measure a Sales Cadence

Metric

What it tells you

**Reply rate by step**

Which touches start conversations and which to rewrite or cut

**Positive reply rate**

Whether replies are interest or opt-outs

**Meetings booked per 100 prospects**

Whether the cadence produces pipeline

**Step of first reply**

Whether your cadence is too short or too long

**Channel mix of replies**

Which channels deserve more touches

**Opt-out and bounce rate**

List quality and whether messages feel relevant

## Frequently Asked Questions

### What is a sales cadence?

A sales cadence is the planned series of outreach attempts a sales rep makes to reach a prospect, including how many touches, which channels (LinkedIn, email, phone), the order and the time between each. It makes follow-up consistent so each prospect gets several chances to respond, and lets the team test which steps get replies.

### How many touches should a B2B sales cadence have?

Most B2B sales cadences use 6 to 10 touches over two to four weeks. Warm prospects who have engaged with your content usually need fewer touches over a shorter period; cold enterprise prospects may need more. Measure the step where replies arrive and adjust the length from there.

### What is the difference between a sales cadence and a sales sequence?

A sales cadence is the plan: the number of touches, channels, order and spacing. A sales sequence is the set of steps built in a sales engagement tool to run that plan, including the message templates and call tasks. Many teams use the two terms interchangeably.

### What is multichannel outreach?

Multichannel outreach means contacting the same prospect through more than one channel in a single cadence, such as a LinkedIn comment, a connection request, an email and a phone call. It reaches prospects on the channel they prefer and makes each touch feel less repetitive.

### What are sales cadence best practices?

Give every touch a reason to reply, mix at least two channels, put more touches in the first week, warm up LinkedIn with engagement before you message, respect LinkedIn and email sending limits, stop on a reply or opt-out, and speed up the next step when a prospect shows a buying signal.

## The Bottom Line

A sales cadence turns follow-up into a repeatable plan: the right number of touches, on the right channels, at the right spacing, with a new reason to reply each time. The best cadences start from a trigger and adjust when prospects show interest. [traxy](https://traxy.ai/) tracks who engages with your posts, your competitors' posts and the creators your buyers follow, matches them against your ICP and sends them to Slack or your CRM, so reps know which prospects to enroll and when to move a touch forward.
